Caswise LLC (“Caswise,” “we,” “our,” or “us”) operates Caswise.com, a community association management software platform designed exclusively for Home Owner Associations (HOAs) and community associations located in the State of Florida. This Privacy Policy explains how we collect, use, share, protect, and retain information from users of our website and platform, including information collected in connection with our financial data integration services powered by Plaid Technologies, Inc.

Our services are intended exclusively for authorized business users — specifically HOA administrators, board members, and community association managers — located in the State of Florida. If you are accessing this website from outside the United States, we respectfully ask that you exit this site, as this Privacy Policy does not extend to international visitors.

By using our platform, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, processing, and storage of your information as described herein.

2. Information We Collect

2.1 Account and Contact Information

When you register for an account, request a demonstration, or contact us, we collect:

  • Full name and title
  • Email address and phone number
  • Name and address of your community association
  • Login credentials (passwords are stored in encrypted form and never in plain text)

2.2 Financial Data via Plaid Integration

Caswise integrates with Plaid Technologies, Inc. (“Plaid”) to enable HOA bank account reconciliation and financial reporting. When you connect your HOA’s bank account through our platform, we collect and process the following financial data via the Plaid API:

  • Bank account information (account numbers, routing numbers, institution name)
  • Account balances and transaction history
  • Financial statements used for reconciliation and reporting
  • Plaid access tokens used to maintain the authorized connection to your financial institution

By connecting your bank account through our platform, you explicitly consent to Caswise accessing, retrieving, and processing your financial data through Plaid solely for the purpose of HOA accounting reconciliation and financial reporting. Caswise does not use financial data retrieved via Plaid for any purpose other than providing the reconciliation and reporting services you have requested.

Plaid’s own privacy policy governs the collection and use of data by Plaid. We encourage you to review Plaid’s Privacy Policy at plaid.com/legal/privacy-policy.

2.3 Community Association Operational Data

When you use the platform to manage your community association, we collect and store the operational data you input, including:

  • Financial records including accounts payable, accounts receivable, and profit and loss statements
  • Owner and resident information
  • Governance documents and meeting records
  • Vendor and contractor information

This data belongs to your association and is stored securely within our platform.

2.4 Usage Data

We collect information about how you interact with our website and platform, including pages visited, features used, and time spent on the site. This information is collected through Google Analytics and is used in anonymized, aggregated form to improve our platform.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To operate and maintain the platform and provide the services you have requested
  • To connect your HOA bank account via Plaid and perform accounting reconciliation and financial reporting
  • To generate financial reports including accounts payable, accounts receivable, and profit and loss statements
  • To communicate with you about your account, support requests, and platform updates
  • To analyze website usage patterns through Google Analytics and improve our platform
  • To respond to inquiries and provide customer support
  • To comply with legal obligations and enforce our terms of service

We do not sell, rent, or trade your personal information or financial data to any third party for marketing purposes. Financial data retrieved via the Plaid API is used exclusively for HOA reconciliation and reporting services and is not shared with or sold to any third party.

4. Data Sharing and Third-Party Services

We share information only in the following limited circumstances:

4.1 Plaid Technologies, Inc.

We use Plaid to facilitate the connection between our platform and your HOA’s financial institution. When you connect your bank account, your financial data is accessed via Plaid’s API under the terms of Plaid’s End User Privacy Policy. Caswise receives and stores only the financial data necessary to provide reconciliation and reporting services. Plaid’s privacy policy is available at plaid.com/legal/privacy-policy.

4.2 Bill.com

All payment processing for platform subscription fees is handled by Bill.com, a third-party payment processor. Caswise does not directly collect, store, or process sensitive payment information such as credit card numbers or bank account details for billing purposes. Bill.com’s privacy policy is available at bill.com.

4.3 Google Analytics

Our website uses Google Analytics to collect anonymized information about website traffic and user behavior. The information collected is aggregated and does not identify individual users. You may opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.

4.4 Other Service Providers

We may share information with service providers who assist us in operating our platform (such as hosting providers and infrastructure services), subject to confidentiality obligations and data processing agreements. These providers are authorized to use your information only as necessary to provide services to us.

5. Data Security

Caswise implements comprehensive technical and organizational security measures to protect your information, including:

  • TLS 1.3 encryption for all data transmitted between your browser and our platform
  • AES-256 encryption for all data stored at rest, including financial data retrieved via Plaid
  • Multi-factor authentication (MFA) required for all accounts with access to financial data and production systems
  • Role-based access control (RBAC) ensuring personnel access only the data necessary for their role
  • Cloudflare Web Application Firewall (WAF) and DDoS protection on all platform infrastructure
  • All sensitive ports (database, administrative interfaces) firewalled and not publicly accessible
  • Plaid API credentials and access tokens stored exclusively as encrypted server-side environment variables, never in source code or client-side applications
  • Regular security reviews and patch management with defined SLA timelines

No method of transmission over the internet or electronic storage is completely secure. While we implement industry-standard security controls, we cannot guarantee absolute security. In the event of a security incident affecting your data, we will notify you in accordance with applicable law and our incident response procedures.

6. Data Retention and Deletion

We retain your data as follows:

  • Account and contact information: retained for the duration of your account plus 2 years, then securely deleted
  • Financial data retrieved via Plaid: retained for the duration of your engagement plus 1 year, then securely deleted from all systems
  • HOA accounting and reconciliation records: retained for 7 years to comply with applicable recordkeeping requirements
  • System access logs: retained for 12 months then securely deleted

Upon termination of your account or written request, we will securely delete or return your data within 30 days. For Plaid-connected data, we will additionally revoke your Plaid access token and submit a data deletion request to Plaid via their API.

7. Your Rights and Choices

As a user of our platform, you have the following rights with respect to your personal information:

7.1 Right to Access

You may request a copy of the personal information we hold about you. We will respond to verified access requests within 30 days.

7.2 Right to Correction

You may request that we correct inaccurate or incomplete personal information. Most account information can be updated directly within the platform.

7.3 Right to Deletion

You may request deletion of your personal information. Upon a verified deletion request, we will delete your data within 30 days except where retention is required by law (such as financial records required for tax or legal compliance). We will confirm deletion in writing.

7.4 Right to Withdraw Consent

You may withdraw consent for the processing of your financial data via Plaid at any time by disconnecting your bank account within the platform or contacting us at admin@caswise.com. Withdrawal of consent will not affect the lawfulness of processing prior to withdrawal but will require us to cease accessing your financial institution data.

7.5 California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, and the right to opt out of the sale of personal information. 8. Consent to Financial Data Processing

By connecting your HOA bank account through our platform via Plaid Link, you provide explicit informed consent to:

  • Caswise accessing your financial institution data through the Plaid API
  • The collection, storage, and processing of your bank account information, balances, and transaction history
  • The use of this financial data exclusively for HOA accounting reconciliation and report generation
  • Caswise retaining this data in accordance with the retention schedule described in Section 6

You may revoke this consent at any time by contacting us at admin@caswise.com. Upon revocation, we will disconnect your bank account, revoke the associated Plaid access token, and delete your financial data within 30 days.

9. Cookies and Tracking Technologies

Our website uses cookies and similar tracking technologies for the following purposes:

  • Essential cookies: required for platform functionality including authentication and session management
  • Analytics cookies: Google Analytics cookies collect anonymized usage data to help us improve our platform

10. Geographic Scope

Our services are intended exclusively for community associations and their authorized administrators located in the State of Florida. This Privacy Policy is designed to comply with applicable Florida and federal law, including the Florida Information Protection Act (FIPA) and the California Consumer Privacy Act (CCPA) where applicable.

This Privacy Policy does not address the requirements of international privacy laws including the European Union General Data Protection Regulation (GDPR). Visitors accessing this website from outside the United States are advised to exit this site, as our services are not directed to international users.

11. Children’s Privacy

Our platform is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us immediately at admin@caswise.com so we may delete it promptly.
